Say who the letter is to, what it is about and the points it must make. Hemmingway writes the whole letter, from the greeting to the sign-off: formal for a landlord, a council or a bank, personal for a friend or a relative. You print it or paste it into an email yourself.
Every line comes from your points. It does not supply a reference number, a date or a reason you left out, so put those in the box.
What makes a letter work
- Give the reason in the first sentence. "I am writing to ask whether..." saves the reader hunting for it.
- One letter, one request. Ask for two things and you tend to get an answer to one.
- Formal does not mean stiff. Short sentences and ordinary words read as confident. In British use, "Dear Mr Lindqvist" pairs with "Yours sincerely", and "Dear Sir or Madam" with "Yours faithfully".
An example
Asked for a formal but friendly letter to a landlord, Mr Lindqvist, asking to keep a cat in the flat, from a tenant of three years whose rent has always been on time, with a six-year-old indoor cat and an offer to pay for a deep clean on moving out, signed Dario Ferreira, Flat 2, a letter along these lines is what to expect:
Dear Mr Lindqvist,
I am writing to ask whether I may keep a cat in the flat.
I have been your tenant for three years, and the rent has always been paid on time. The cat is six years old and lives indoors.
I will pay for a deep clean when I move out.
